Summary of Position
The Administrative and Program Assistant will support executive, board of directors, general communications, and fundraising activities of The Table. This position will also support the administration of the Fresh Food Box program.


  • Minimum 2 years experience working in an administrative role.
  • Excellent computer skills, in particular using spreadsheets, databases, and Google Workspace applications.
  • Strong organizational, time management and planning skills.
  • Strong written communication and editing skills.
  • Demonstrated ability to work collaboratively.
  • Experience working with people of diverse backgrounds and identities.

Reports to: Executive Director

Hours and Schedule: The position is 3 days or 22.5 hrs a week. Scheduling is flexible, though there is a requirement to be present on Fresh Food Box distribution days the first and third Thursday of the month.

Wage: The wage for this position is $20 / hr depending on experience.

Specific Duties

  • Receive and respond to or direct general correspondence received by, phone, letter email and social media.
  • Maintain the Table’s website and written materials to ensure they are accurate and up to date.
  • Assist with compiling email newsletters to Table supporters.
  • Take minutes and help with crafting agendas for staff team meetings.
  • Ensure The Table’s shared drive is maintained with up to date policies, minutes, photos and other documents.
  • Maintain a registry of staff training requirements and status. Support the ED with logistics of staff training activities.
  • Monitor financial donations to The Table and support the implementation of the donor stewardship plan.
  • Provide administrative support for fundraising activities including issuing tax receipts, sending mail outs, special events, and managing the donor database.
  • Provide support to the Board of Directors by managing documents and shared files including minutes and policies.
  • Manage correspondence with Fresh Food Box participants, receive and compile orders for the Fresh Food Box.
  • Work with volunteers to pack food boxes.
